Getting Started with Synthflow AI

Getting started on your journey with Synthflow AI is straightforward.

First, I highly recommend the “Getting Started” section, where you can learn all the ins and outs of Synthflow. This is essential if you are creating an AI assistant for the first time because the lingo and workflow may be different from the other AI tools you have used in the past.

1. Sign Up for Synthflow

First, you can visit Synthflow and create an account. There are free trials available to test-run your AI assistants.

2a. Choosing an Assistant

Click on “+ Create Assistant” to begin creating your AI assistant. (Note: if you are using the “Starter” plan, only one (1) AI assistant is allowed. (If you have already created one AI assistant, you will need to remove it before creating a new one)

You can create a new assistant using the following method:

  • Start from scratch
  • Quick assistant setup
  • Browse our templates (highly recommended for first-time users)

2b. Browse Templates (to get started)

Once you have selected “Browse our templates”, you will be presented with the following options:

  • A list of all templates for inbound and outbound calls
  • Templates organized by industries (real estate, recruitment, car dealership, etc.)

There are currently more “Outbound” than “Inbound” templates.

Marketing 101: An inbound call center receives calls from new or current customers, while an outbound call center makes calls for sales, surveys, billing, and more.

You can easily create “Inbound” calls based on your business needs using Synthflow. Because inbound calls are highly individualized based on your business needs, it makes sense to create them using “Start from Scratch” or “Quick Assistant Setup”.

2c. Test an Assistant

Once you choose an AI assistant (for example, Jessica AI), click on “View details” so you can learn more about this particular AI assistant.

Before you hit “+ Create Assistant”, you can test-run this prebuilt template using “Give it a try”.

All you need to do is to enter your name, phone number, and click “Call me”. You will then receive a test call to engage in a conversation with the selected AI assistant.

3a. Configure and Launch an Assistant

You can easily configure and customize your AI assistant with Synthflow’s intuitive user interface to define your AI’s voice, language, and conversation scripts. The customization options are extensive to tailor to your brand’s needs.

Under General options, you can update:

  • Assistant Name
  • Image (optional)
  • AI model (GPT-4o is the default and recommended option from OpenAI)
  • Knowledge base (you can fine-tune your assistant with an existing knowledge base to locate sources more efficiently, and therefore reduce latency)
  • Custom vocabulary (add your business name and terms to improve accuracy and recognition)
  • Filter words (words for your AI assistant to avoid)

Under “Voice Settings”, you can fine-tune your AI assistant’s voice settings:

  • Voice
  • Patience level
  • Stability
  • Style exaggeration
  • Similarity
  • Voice speed
  • Fade out at the interruption
  • Optimize latency
  • Voice prompting

If these terms sound complicated, no worries! Synthflow’s default voice settings are already quite good. These options are only to give you full control in case you prefer to create a unique AI assistant to your specific wants and needs. They are optional, and not at all required.

Under “Call Settings”, Synthflow allows you to not only set the AI voice but also to customize the call environment such as office or cafe among other intricate dials you can turn and adjust.

3b. Customizing prompts

Synthflow is packed with templates, including prompts you can use right away or edit to your liking. My favorite part about this section is the ability to directly access “Prompting Guidelines” for best practices, and select from a list of pre-written templates for multiple industries and scenarios (HR prescreening, Churn prevention, etc.). You can even “Ask Copilot” for additional information if needed.

3c. Actions

4. Analytics at your fingertips

After you’ve put your AI assistasnt(s) to work, it’s time to review analytics.

Synthflow provides a clean and clear Dashboard where you can find total calls, minutes used and average call duration. You can also find “Actions” associated with these calls from appointment scheduled to live call transfers, and the number of SMS sent. Last but not least, you are able to see your call performance based on goal achievement (i.e. objectives specified in the prompt section), call drop-off rate, positive sentiment, etc.

Best practices for first-time AI assistant SMBs
